These Terms and Conditions apply to services provided by Hunter Valley Elite Football Academy (HVEFA, “we”, “our” or “us”) and to use of this website. “You” means the parent or guardian making an enquiry or booking and, where relevant, the participating player.
Please read these terms together with our Privacy Policy, registration and consent forms, program information and safeguarding policies. If a specific written agreement conflicts with these general terms, the specific agreement applies to the extent of the conflict.
Nothing in these terms excludes, restricts or modifies any right or remedy that cannot lawfully be excluded, including rights under the Australian Consumer Law.
Agreement to these terms
By making a booking, enrolling a player, paying a fee or participating in an HVEFA activity, you confirm that you have read and agree to these terms and have authority to act for the player. An online enquiry is not itself a confirmed booking. A place is accepted only when HVEFA confirms it.
Enrolment and eligibility
- You must provide complete, accurate and current registration, contact, emergency and medical information.
- A parent or legal guardian must provide consent for a player under 18.
- Places are subject to program suitability, age requirements, coach availability, capacity and payment.
- HVEFA may recommend a different group or program where this better supports the player’s safety or development.
Fees and payment
Current fees, session duration and payment arrangements will be provided before a booking is confirmed. Unless otherwise agreed, fees must be paid by the stated due date. You are responsible for checking booking details and contacting us promptly about any error.
If an amount remains unpaid, HVEFA may pause future participation after providing reasonable notice and an opportunity to resolve the account. Any refund, credit or alternative arrangement will be handled in accordance with these terms and applicable law.
Participant cancellations
Please provide at least 24 hours’ notice if a player cannot attend. Where less notice is given or a player does not attend, the full session fee may be charged because the coach and place were reserved.
We understand that illness, emergencies and unforeseen circumstances occur. Contact us as soon as possible and we will consider the circumstances fairly. Any make-up session is subject to coach, venue and program availability and is not guaranteed.
Academy cancellations
HVEFA may modify, postpone or cancel an activity because of unsafe weather or field conditions, venue closure, coach illness, emergencies or circumstances beyond reasonable control. We will notify affected families as soon as practicable using the contact details provided.
- Where possible, we will offer a make-up session or reasonable alternative.
- If rescheduling is not feasible, an appropriate credit or pro-rata refund will be offered.
- If most of a session has been safely completed before it is stopped, a refund may not be provided.
Weather decisions are guided by HVEFA’s published safety policy, including the 32°C heat threshold and lightning, field, wind and air-quality risks.
Health, safety and participation
Football involves physical activity and carries inherent risks such as collision, falls and injury. HVEFA will provide services with due care and skill, but no sporting activity can be risk-free.
- You must disclose any medical condition, allergy, medication, injury or other matter relevant to safe participation and notify us of changes.
- HVEFA may request medical clearance or modify or pause participation where reasonably required for safety.
- Players must follow coach instructions and bring suitable football boots, shin guards, water and sun protection.
- In an emergency, you authorise reasonable first aid and, where necessary, emergency medical assistance. Associated treatment costs remain your responsibility except where the law provides otherwise.
Conduct and safeguarding
Players, parents and guardians must treat coaches, officials, other families and participants with respect and follow HVEFA’s child-safety, conduct and social-media requirements. Bullying, discrimination, harassment, violence, unsafe conduct or serious disruption is not accepted.
HVEFA may give a warning, set reasonable participation conditions, suspend or end participation where needed to protect safety or program integrity. Except where urgent safety action is required, we will explain the concern and provide a fair opportunity to respond. Any refund decision will be fair, proportionate and subject to applicable law.
Photos, video and privacy
Photos or video of junior players will be used only according to the media-consent choice provided by their parent or guardian. Consent may be changed by contacting HVEFA, although this may not remove material already lawfully published.
Personal and health information is handled under our Privacy Policy. Parents and participants must not publish another child’s personal information or identifiable media without the appropriate consent.
Programs and outcomes
HVEFA aims to develop technical ability, decision-making, confidence, teamwork and enjoyment. Individual development varies, and we do not guarantee selection, playing time, competition results, scholarships or progression to a particular team or level.
We may make reasonable changes to coaches, venues, schedules, groupings or session content. We will give reasonable notice where practicable. If a material change means we cannot provide the agreed service, we will offer a reasonable alternative, credit or refund as required by law.
Consumer rights and liability
Our services come with consumer guarantees that cannot be excluded. They include that services will be provided with due care and skill, be fit for an agreed purpose and be supplied within a reasonable time where no time is fixed.
To the maximum extent permitted by law, HVEFA is not responsible for indirect or consequential loss, loss caused by inaccurate or withheld information, failure to follow reasonable instructions, or events outside our reasonable control. This does not limit liability that cannot legally be limited, including liability arising from a failure to comply with a consumer guarantee.
Website and intellectual property
Website information is general and may change. We take reasonable care with accuracy but ask you to confirm current program details before booking. External links are provided for convenience and do not mean HVEFA controls or endorses the linked service.
Unless otherwise stated, HVEFA owns or is authorised to use the website’s branding, copy, graphics and other content. It may not be copied, republished or used commercially without prior written permission, except as allowed by law.
Complaints and disputes
Please raise a concern with HVEFA first so we can understand it and try to resolve it promptly and fairly. Contact hvelitefootballacademy@outlook.com or 0425 365 124.
If we cannot resolve a consumer concern, you may seek assistance from NSW Fair Trading. These terms are governed by the laws of New South Wales, Australia, subject to any law that applies regardless of this clause.

Changes to these terms
We may update these terms for future bookings when our services, policies or legal obligations change. The current version and last-updated date will remain on this page. A change will not retrospectively alter an existing confirmed booking unless agreed or required by law.
